Privacy policy

MakeTime processes personal data in four different roles. Please read the section that applies to you. When you register, you confirm the policy that applies to you by ticking a box.

1. For website visitors

This policy applies to visits to the public MakeTime website (home page, features, registration).

Controller

MakeSimple.CH, owner Yagmur Ipek, Wassergrabe 6, 6210 Sursee, Switzerland — info@makesimple.ch. MakeTime is a product of MakeSimple.CH. The Swiss Federal Act on Data Protection (revFADP) applies.

Server logs

When the website is accessed, technically necessary data (IP address, browser type, date and time, page accessed) is processed in server logs — solely for operation, stability and security. It is not combined with other data.

Cookies and local storage

MakeTime uses only technically necessary cookies or local storage (login session, language setting, light or dark mode). No tracking, no advertising cookies.

Encryption

Data is transmitted via SSL/TLS (HTTPS).

2. For companies (company account)

This policy applies to businesses that register with MakeTime and use the platform for their organisation.

Account data

On registration we collect: company name, first and last name of the responsible person, email address and password (stored only as a hash, unreadable to us). Company details for invoices (address, IBAN, logo, VAT details) can also be added.

Allocation of roles (important)

The company remains the controller for the personal data of employees and customers recorded in the account. MakeSimple.CH processes this data solely on behalf of the company (processing on behalf) and does not use it for its own purposes.

Mailbox

If the company stores an email account (IMAP/SMTP), the access data is stored and used solely to provide the mailbox function. Email content is processed only for display and sending.

Storage and deletion

Data is hosted in a data centre in Germany (Hetzner Online GmbH, Falkenstein). When the account is closed, the company's data is deleted after the statutory retention periods have expired.

Disclosure

No disclosure to third parties unless required to perform the contract (e.g. Google Maps for address and distance calculation) or by law. No sale of data.

3. For employees

This policy applies to employees whose employer uses MakeTime and who create an account by invitation.

What data is processed

Your employer records in MakeTime in particular: master data (name, address, contact details, date of birth), contract and wage data (including payslips as documents), social insurance and family details as far as needed for payroll, absences (holidays, illness, including uploaded evidence such as medical certificates), assignment and working times and distances to places of work.

Purpose

The data is used for scheduling assignments, managing working time and absences, payroll and fulfilling the employer's legal obligations.

Controller

Your employer is the controller under data protection law. MakeSimple.CH operates the platform as a processor and does not use your data for its own purposes.

Your account

Your access is created by invitation (invitation code or link). Your password is stored only as a hash.

Electronic signature of the employment contract

If you sign your employment contract on screen, you open it through a personal link that your employer sends you by email. The link is valid for 14 days; the page also asks for your date of birth, which is only compared and not stored again, and locks the link after five incorrect entries. As evidence of your consent, the following is stored: the image of your signature, date and time, the IP address and browser identification of your device, the checksum of the signed contract text and the address the link was sent to. These details appear on the last page of the contract PDF (evidence page). You receive the PDF by email; it is filed in the protected storage with your personnel documents and is visible to you and to the people your employer authorises (administration, fiduciary). If you sign on paper, your employer files the scan; the IP address and browser identification are then not recorded. The on-screen signature evidences your consent; it is not a qualified electronic signature. The contract is retained like your other personnel records.

Your rights

You exercise your rights of access, rectification and erasure directly with your employer; statutory retention obligations (e.g. payroll records) remain reserved.

4. For customers

This policy applies to customers of a business that uses MakeTime — with or without their own customer account.

What data is processed

The business you have engaged records: name or company, address and contact details, location of the property (including map position and distance calculation), order and assignment data, invoice and quotation data, and ratings and comments given voluntarily.

Purpose

The data is used to plan and carry out orders, for communication and for invoicing (including the Swiss QR-bill).

Controller

The controller under data protection law is the business that has you as a customer. MakeSimple.CH operates the platform as a processor.

Your customer account (optional)

By invitation you can create a customer account to view and rate assignments. Your password is stored only as a hash.

Your rights

You exercise your rights of access, rectification and erasure with the business you have engaged; statutory retention periods (e.g. accounting) remain reserved.
